Document checklist for government exam and job forms

Every recruitment and admission form has its own rules, but the list of documents repeats from one form to the next. Preparing them once, in good quality, saves hours of last-minute scanning. This checklist covers what is commonly asked for and what to watch out for. The notice for your exam always decides the exact format, size and dimensions. We deliberately do not quote fixed numbers here, because they differ between bodies and change between years.

Category and eligibility certificates
Caste certificate (SC/ST/OBC)
- For central government jobs, OBC candidates usually need a certificate in the central government format showing non-creamy layer status. A state-format certificate may not be accepted for central posts.
- OBC non-creamy layer certificates are linked to income, so notices often say which financial year or date the certificate must relate to.
EWS certificate
- The Economically Weaker Section certificate (often called the Income and Asset Certificate) is based on family income for a financial year, so its validity is tied to a particular year.
- Check that the year in your certificate matches what the notice asks for. This is a frequent reason for rejection at document verification.
Domicile or residence certificate
- Mainly required for state-level recruitment and admissions that have local reservations.
- Issued by the state's revenue authorities. Formats and names vary by state.
Disability certificate
- Persons with Benchmark Disabilities usually need a certificate issued by the competent medical authority. Many states now issue the UDID card (Unique Disability ID) through the government's Swavlamban card portal.
- If you need a scribe or compensatory time, the notice usually has a separate format or declaration.
Other common ones
- Ex-servicemen discharge book or certificate.
- No Objection Certificate for in-service candidates.
- Experience certificates for posts that require work experience.
- Name change gazette or affidavit if your name differs between documents.
Worked example: preparing for a typical form
Suppose a notice asks for: photo JPG 20 to 50 KB, signature JPG 10 to 20 KB, and caste certificate PDF up to 300 KB. Your phone gives you a 3.2 MB photo, a 1.8 MB signature photo and a 2.1 MB two-page certificate scan.
- Photo: crop to the notice's dimensions, then use compress image to 50 KB; aim for about 40 KB so you are safely inside 20 to 50.
- Signature: use Resize Signature; aim for about 15 KB.
- Certificate: two pages and a 300 KB limit means about 140 KB per page with a margin. Greyscale at around 150 DPI usually does it. Use Compress PDF.
- Open each output, check it is clear, and note the sizes.
Organise once, reuse many times
- Create a folder on your phone or PC named, for example,
govt-forms. - Keep high-quality originals (full scans) in one subfolder, and the compressed versions for each form in another.
- Name files clearly:
photo-2026-10.jpg,obc-ncl-2026-27.pdf. - Note expiry-sensitive certificates (OBC-NCL, EWS, income) and their dates.
Before you click submit
- Every document matches the format (JPG or PDF), size range and, for images, dimensions in the notice.
- Names and dates of birth match across documents and the form.
- Certificates are in the format asked for (central or state).
- Copies are self-attested if the notice asks for it; see self-attested copies.
- You have the originals ready for document verification.

- What documents are needed for a government job application?
- Most forms ask for a photo, signature, ID proof and educational documents, plus category, EWS, domicile or disability certificates where they apply. The notice for your exam lists the exact set.
- Can I use a state OBC certificate for a central government job?
- Central government posts usually require the OBC non-creamy layer certificate in the central government format. Check the notice, which often includes the format.
- Which year should my EWS certificate be for?
- EWS certificates are based on income for a particular financial year. The notice states which year is required, so match it exactly.
- What is a UDID card?
- It is the Unique Disability ID issued through the government Swavlamban card portal. Many recruitment bodies accept it as the disability certificate, but follow your notice.
- Should I upload documents in PDF or JPG?
- Photos, signatures and thumb impressions are usually JPG, and certificates are usually PDF. The notice decides, so check each upload label.
