How to write and upload the handwritten declaration for bank forms

Bank recruitment forms ask for four images: your photo, your signature, your left thumb impression and a handwritten declaration. The declaration is a short paragraph from the notice that you write out by hand, photograph and upload. It looks simple, but the notices have firm rules about it. We've gone through the SBI Junior Associates 2026 advertisement and IPPB's application guidelines line by line, and here's what they ask for.

The text you write

The notice gives you the words. This is SBI Junior Associates 2026:

"I, ______ (Name of the candidate), Date of Birth ______, hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required. The signature, photograph and left thumb impression is of mine."

IPPB's text is shorter, with no date of birth:

"I, (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required."

Put your own name in place of the blank, and for SBI your date of birth as well. If you're applying to another bank, its notice will print its own text, so write that one instead.

The rules for writing it

IPPB makes one exception: visually impaired candidates who can't write may get the text typed, put their left thumb impression below it and upload that. SBI's notice doesn't offer a typed version.

The file: 800 × 400 pixels, 50 to 100 KB

Both notices ask for the same file: JPG or JPEG, 800 × 400 pixels at 200 DPI (they call this size preferred), which is 10 cm wide and 5 cm high, and between 50 and 100 KB. That shape is twice as wide as it is tall. A paragraph written across the top of an A4 sheet doesn't fit it well, because the crop then leaves wide white margins or cuts words off. So plan a block about twice as wide as it is tall before you start, for example 16 cm across and 8 cm down, and fit the text into five to seven lines. Letters of a normal size stay easy to read when the image is shrunk.

Photograph or scan it

The notices describe a scanner set to at least 200 DPI and true colour, with the image cropped to the edge of the declaration. A phone camera does the job too: lay the sheet flat in daylight, hold the phone straight above it so the lines don't slope, keep your shadow off the page and turn the flash off. Take two or three photos and keep the sharpest.

Make the file

  1. Open the handwritten declaration tool and tap Choose a photo. It starts at 800 × 400 pixels and 50 to 100 KB.
  2. Drag the box so it covers the whole paragraph, with a little white paper on every side.
  3. Keep Whiten the paper on. Grey paper turns white and the ink gets darker.
  4. Tap Make my file, check the size it shows, and download it.

All of this happens in your browser, so the photo of your declaration never leaves your phone or computer.

Worked example

Priya writes the SBI text in six lines inside a 16 × 8 cm block and photographs it with her phone: 4000 × 3000 pixels, about 3 MB. In the tool she fits the box around the writing, keeps the paper whitened and makes the file. At 800 × 400 pixels and high quality it usually comes to about 55 to 90 KB, inside the limit. A very clean page can come out under 50 KB. Then the tool adds filler bytes that add no detail until the file reaches the minimum, and the picture stays exactly the same.

Mistakes that get it rejected

Before you submit, look at the preview of every image on the form. Both notices let you re-upload a photo, signature, thumb impression or declaration that isn't clear, but only before you submit. After that, no changes are allowed.

Keep the original

Keep the sheet and the file with your other application papers. Neither notice says the declaration itself is checked again, but SBI does compare other uploads later: your signature at the exam must match the one you uploaded, and the bank may take your thumb impression again for biometric checks. If you also need the thumb impression, our thumb impression guide walks through it.

Questions people ask

What is the size of the handwritten declaration for bank forms?
The SBI Junior Associates 2026 and IPPB notices both ask for a JPG or JPEG of 800 × 400 pixels at 200 DPI (10 × 5 cm), between 50 and 100 KB.
Can I type the declaration?
No. Both notices want it in your own handwriting. IPPB allows a typed declaration only for visually impaired candidates who cannot write, with their left thumb impression below it.
Can I write the declaration in Hindi?
No. SBI and IPPB both ask for it in English, and IPPB says a declaration in any other language makes the application invalid.
Can I write it in capital letters?
No. Both notices say a declaration in capital letters will not be accepted. Write in your normal running hand.
Can I use a blue pen?
Use black ink on white paper. That is what both notices ask for.
Is the photo of my declaration uploaded to your site?
No. The tool works inside your browser, so the image stays on your phone or computer.
