JPG, PNG, WebP and HEIC: which format should you upload?

Upload boxes on application forms usually say something like "only JPG/JPEG allowed". If your phone saves photos as HEIC, or your screenshot is a PNG, the form may simply refuse the file. Here is what each format is, where it is used and how to get the right one.

JPEG (JPG)

JPEG is the standard format for photographs and by far the most widely accepted on Indian exam, recruitment and government portals. It uses lossy compression: it throws away detail your eye is unlikely to notice, which makes files small. You can choose a quality level, trading file size against sharpness. .jpg and .jpeg are the same format. The shorter .jpg exists because old versions of Windows allowed only three-letter extensions. Occasionally a portal's checker accepts one spelling but not the other; renaming the file from photo.jpeg to photo.jpg (or the reverse) usually fixes that, since the content is identical.

PNG

PNG is lossless: every pixel is stored exactly. That is ideal for screenshots, logos and text, and it supports transparent backgrounds. For photos, PNG files are typically several times larger than a JPEG of the same image, so they rarely fit a small KB limit. Some forms accept PNG for signatures, where the plain background compresses well, but many do not. Upload PNG only if your notice lists it.

WebP

WebP is a modern format from Google, widely used on websites because it produces smaller files than JPEG at similar quality. Images saved from web pages or WhatsApp Web sometimes arrive as .webp. Few application portals accept it, so convert it to JPG before uploading.

HEIC (HEIF)

HEIC is the default photo format on iPhones (with the "High Efficiency" camera setting) and on some Android phones. It produces roughly half the size of an equivalent JPEG, but Windows and many web forms cannot read it without extra support. Worked example: the same photo in four formats

A typical 413 × 531 px passport-style photo on a plain background, saved by an image editor. Figures are illustrative; real numbers depend on the image and the encoder.

For a form with a 50 KB limit that accepts only JPG, the JPEG at quality 75 is the right choice.

How to convert

Do not just rename a .png or .heic file to .jpg. Renaming changes only the label, not the content, and a strict portal will detect the mismatch or show a broken image.

Quick rule

Photos, thumb impressions and most signatures: JPG. Documents and certificates: PDF unless told otherwise. Anything else: only if the notice lists it.

Questions people ask

Are JPG and JPEG the same?
Yes. They are the same format with two spellings of the extension. Renaming between .jpg and .jpeg does not change the file.
Can I upload a PNG instead of a JPG?
Only if the notice lists PNG. Most exam and recruitment portals accept only JPG/JPEG for photos.
How do I convert a WebP image to JPG?

Can I just rename a PNG file to JPG?
